Overview


This documentation covers the basic activities that assignees, reviewers and verifiers need to do in order to complete their part of the task or request workflow.

Note the screenshots in this documentation are for tasks; however, please remember the workflow for tasks and requests is identical.

NOTE

Additional request functionality that audit managers may need is covered in Working with Requests.

Submitting, Reviewing, and Verifying Information


Users assigned to tasks or requests can open them in several ways, with main access coming from email or the To-Do List

To submit information for the task/request, complete the following steps:

  1. Open your assigned item.
  2. Review information to understand what's being requested.
  3. If this is a task/request related to reviewing another object in ZenGRC, such as a policy or a vendor, that item will display in the Related Objects field as a link.



  4. To attach documents, select the Attachments tab.
  5. Drag files from your computer into the field under the Attachments tab.
  6. Alternatively, click click to browse to open a dialog box and select the files.

     

  7. To add hyperlinks to the item, click Click here to attach links.



  8. Enter the URL in the Link text box and the name in the Title text box.
  9. Click Add link.



  10. Click the Comments tab to review prior notes or add information pertinent to the item.

  11. Click Send to save your notes.

    TIP

    Clicking Send only saves comments and has no impact on status. If you'd like to send an email to certain users, ZenGRC accommodates using the @ along with their names. Instant notifications do not need to be turned on for this feature to work.

  12. After reviewing information and adding comments, do one of the following according to your assigned position:
    1. For an assignee, click Submit Task/Request). The item will now be placed in the reviewer’s To-Do List.



    2. For a reviewer, click Approve Task/Request to accept evidence or Decline Task/Request to reject evidence. (If approved, the task will now be placed in the verifier’s To-Do List.)



    3. For a verifier, click Verify Task/Request to accept evidence or Decline Task/Request to reject evidence. (If verified, the status will now be set to Complete.)



  13. The page refreshes showing the task's status.

TIP

If the task or request is declined at any point, it will be placed in the To-Do List of the person who submitted the information and reset to an Open status. The original assignee is again responsible for reviewing reasons the information was rejected and resubmitting requested information.
